You can use the Purchase Orders window to create and manage purchase orders for bottled wine, bulk wine, barrels, dry goods, packaging materials, and general goods.
To access the Purchase Orders window:
- Click More Options in the sidebar.
- From the Purchases tile, click Manage Purchase Orders.
The Purchase Orders window displays. At the top of the Purchase Orders window are filters that let you control which purchase orders are listed.
Purchase orders can be linked to accounting pages such as Xero. Refer to our Synchronizing Purchase Orders with Xero article to learn more.
Creating a Purchase Order
To create a purchase order:
- Click More Options in the sidebar.
- From the Purchases tile, click New Purchase Order. The Stock Purchase Order window displays.
You can also click New Purchase Order from the Purchase Orders window.
- Specify the details for the purchase order.
- PO# — Enter a purchase order number in the PO# field. You can let vintrace generate a purchase order number by configuring an auto-code policy.
- Vendor — Click the to find the vendor, or click to add the vendor to the address book.
- For each item in the purchase order, select the purchase type, then click the to find the item. The items displayed will depend on the Type that you selected.
- Do one of the following:
- To save the purchase order without printing or emailing it, click Save.
- To email the purchase order, click Save and Email.
- To print the purchase order, click Save and Print. An example of a printed purchase order is below.
Receiving Stock on a Purchase Order
To receive stock on a purchase order:
- Click More Options in the sidebar.
- From the Purchases tile, click Manage Purchase Orders.
- Do one of the following:
- Click the purchase order.
- Click the down arrow beside Options, then select Stock.
- From the State list, select Approved.
- Click Stock Receival.
The Action Receive window displays.
