The bulk product allocation feature is available to users with the Inventory module.
The bulk product allocation feature in vintrace lets you easily manage the supply and demand process. You can create an end-use product and allocate portions of a wine batch to that product or multiple products throughout the production process.
This feature is especially useful for estate wineries as it allows you to allocate your bulk wine to a specific brand or product tier. This ensures that your bulk wine meets your market demands.
Contract winemakers, or those producing bulk wine to order can use the feature to allocate bulk wine in tanks to a specific contract.
Creating a Product
In order to track allocations, you’ll need to create a new product with the product’s name, owner, and other details such as its supply and demand per vintage.
To create a product:
- Click
Products in the sidebar.
- Click the
add icon. The New Product window displays.
- Enter the product’s name and owner, then click Save.
- From the Products page, click the newly created product.
- Select the Stock Allocation tab.
- Click the
add icon to add the demand for the product. A new line displays in the Stock Allocations table.
- Specify the customer for the product.
- Enter the demand in the Allocation Gal column.
The Summary adjusts to reflect the demand.
Allocating Bulk Wine to a Product
To allocate bulk wine to a product:
- From the Products page, click the
manage product allocations icon.
- Click the
add icon.
- Select Add Vessel.
The Vessels page displays.
- Select the wines you want to add to the allocation.
- Click Use Selection. The selected wines display in the allocation table.
- Click the
pencil icon to enter the allocated volume. After you’ve entered your allocations, the balance is automatically updated.
Allocating a Bulk Wine to Multiple Products
To allocate bulk wine to multiple products:
- From the Products page, click the
manage product allocations icon.
- Click the
add icon.
- Select Add Product.
The New Product window displays.
- Enter the name of the product, then click Save.
Fulfilling Allocations
If you have multiple allocations, or there’s un-allocated volume on a wine, you can select which allocation to fulfill for a Bulk Dispatch or Packaging operation. For these operations, the Proportional Allocational option is selected by default. This auto-calculates the fulfilled amount of allocated and un-allocated volume according to their ratio.
If you’d prefer to use a different allocation option, click Proportional Allocation. The Manage Allocation window displays where you can select a different option.
Tracking Allocations on Transfers
As wine is produced, moved, blended, and losses made, you can track allocated volumes and avoid shortfalls for products.
By default, the Proportional Allocation option is selected. This option auto calculates the fulfilled amount of allocated and unallocated volume according to their ration.
You can change the allocation option by clicking Proportional Allocation, then selecting the option you prefer.
