Accounts are used to manage your sales orders, purchase orders, and client billing.
Setting Up an Account without Xero Configured
To set up an account without Xero configured:
- Click
Set Up in the sidebar.
- Click Accounts.
- From the Accounts tile, click Configure.

Click New Ledger Account. The Account window displays.
The Account window displays.
- Specify the details for the account.
- Click Save.
Setting Up a New Account with Xero configured
After you’ve integrated Xero with vintrace, you can link your accounts in vintrace to Xero.
- Click
Set Up in the sidebar.
- Click Accounts.
- From the Accounts tile, click Configure.
- Click New Ledger Account. The Account window displays.
- Specify the details for the account.
- Click
next to the Account Code.
- Select a Type from the list to filter the Xero Accounts by this Type.
- Select the Xero Account you want to use.
- Click Save.
IMPORTANT: If an account is set with Cost Method as Indirect, the account will carry no costs and will not be able to push costs to Xero. In most cases (e.g. fruit cost, dry goods cost etc.) the Cost Method for the account should be Direct. An example of an Indirect cost may be overheads, which are allocated across a number of wines but don't represent a direct input to any particular wine.
IMPORTANT: If the Syncable checkbox is not checked, the account cannot be synced externally. In this case, the costs will tally in vintrace reports but not push to your external accounting software.
Linking an Existing Account to Xero
After you’ve integrated Xero with vintrace, you can link your existing accounts in vintrace to Xero.
- Click
Set Up in the sidebar.
- Click Accounts.
- From the Accounts tile, click Configure.
- Click the account you wish to update and link to Xero. The Account window displays.
- Click
next to the Account Code.
- Select the appropriate Xero account from the list.
- Specify any other details required
- Click Save
