You can specify a winery-specific prefix that will be used for new work orders, fruit dockets, and bills of lading. For example, if a winery’s prefix is J, the work order numbers, docket numbers, and bills of lading will include that prefix.
vintrace will use numbers without a prefix if any of the following are true:
- A prefix is not specified for a winery
- A user is not switched to a specific winery and/or vintrace cannot determine which winery a work order, docket, or bill of lading is for.
Work Orders and BOLs
To specify a winery’s prefix for new work orders and bills of lading:
- Click
Set Up in the sidebar.
- Search for Winery.
- From the Winery tile, click Configure.
- Select the winery.
- In the Prefix field, enter the prefix that you want to use for the winery’s new work orders and bills of lading.
- Click Save.
Weigh Certificates
To specify a winery’s prefix for dockets/weigh tags for fruit intakes and weigh records:
- Click
Set Up in the sidebar.
- Search for Defaults.
- From the Defaults tile, click Configure.
- Click on the Winery tab and select the winery.
- Scroll down to the 'Weighmaster' field and click Update.

In the Docket (or Weigh Tag) Prefix field, enter the prefix that you want to use for the winery’s weigh certificates.
- After setting the prefix it is recommended to click 'Retrieve last number' to check the last docket number used for the prefix (if any).
- Local vintrace administrators may update the last used number, though it must be set to a number higher than previously used number to avoid duplicates. If you need to set the number to a lower value, then selecting a different prefix is your best option.
- Click OK to close the window.
- Click Apply at the bottom of the Winery Setup window.
