Introducing the new Reports Hub - now live for Australia and New Zealand
The Reports Hub is our new, redesigned reporting experience that brings the reports you have access to into one searchable home. Browse by category or search by name, rerun your go-to reports in one click and let large reports generate in the background while you keep working.
Key benefits
Find any report in seconds: no more clicking through menus or remembering where a report lives. Every report you can run is on one page, ready to browse or search.
Keep working while big reports run: large reports generate in the background and arrive by email, so you're not stuck watching a loading screen or wondering if a report timed out.
Never lose a report you've run: every report you generate or email is kept in Recent reports for 30 days, so you can download it again instead of re-running it or searching your inbox.
Only see what's relevant to you: the hub only shows the categories and reports your user role has access to, so the list stays focused.
Key features
-
All your reports in one place
A full-screen landing page loads every report you have access to, listed alphabetically, the moment you open it.
Browse by category (for example Inventory, Sales, Bottling) in the left pane. The selected category is highlighted, so you always know where you are.
Each report shows its category and colour-coded format tags (PDF, Excel/CSV, Chart, Doc), so you know what you'll get before you run it.
-
Search that works as you type
Results appear from the very first character, so short names, keywords and abbreviations like "tax" or "stock" are easy to find.
Each result shows the report name and its category, so you can pick the right one with confidence.
Clear your search and you're taken back to exactly where you were.
Custom searches, one click away: open, manage and create custom searches from the link in the left pane, without leaving the Reports Hub.
-
Large reports in the background
Reports over 10MB are generated in the background while you carry on in vintrace.
When the report is ready, you'll get an email with a secure download link that only works when you're logged in to vintrace. The link stays valid for 24 hours, so you can grab the file the next morning.
-
Recent reports
Your full report history in one place, newest first, showing the report name, date and time generated, format, file size, how it was delivered (Generated or Emailed) and status.
Search your history or filter by date to find a past report quickly.
Download any report you've generated or emailed again for 30 days.

Block Assessment report
As a thank you for using the new Reports Hub, you also have access to a new Block Assessment report. You can find this in the Fruit Maturity category of the Reports Hub. More details below.
Introducing Scalehouse - a new fast way to weigh deliveries and dispatches
Scalehouse is now available to all clients
Scalehouse gives scale operators and weighbridge staff a simple, fast screen for everything that goes over the winery scales, whether it’s coming into the winery or going out. Record gross and tare weights, produce a weigh certificate and get the next truck moving. You’ll find it under the truck icon in the sidebar menu.
To turn on this feature get you local vintrace administrator to tick the ‘Enable Scalehouse’ checkbox in Set up > General > System policy.
Key benefits
Get trucks across the scales faster: one screen built for weighbridge work, so operators can record weights and print a certificate without opening the full intake or dispatch screens.
Every weighing in one place: fruit intakes, other commodity intakes and dispatches all show in the same list, so you can see everything that has crossed the scales.
Fewer keying errors: integrated scales capture weights and times with one click, so less is typed by hand.
Switch over without losing your numbering: weigh certificate numbering can be set to carry on from your previous system.
Key features
-
Scalehouse list and weigh records
The Scalehouse page lists every weigh record that has crossed the scales, whether delivered to the winery or dispatched out.
-
Add new records and manage existing ones in the Weigh record window.
-
Commodity intakes and dispatches
Weigh more than fruit: commodity types (the kinds of goods that can be weighed) are maintained in Set up > Classification > Commodity types.
Calculate the volume for an intake or dispatch by entering a weigh factor and clicking the calculator button. The volume is the net tons divided by the weigh factor.
See Using the Scalehouse for commodity intakes and dispatches.
-
Integrated scales
If your scales are integrated with vintrace, clicking the first scale icon sets Time In to now, and clicking the second sets Time Out to now.
For an intake, Gross sets Time In and Tare sets Time Out. For a dispatch it’s the other way round: Tare sets Time In and Gross sets Time Out.
-
Weigh certificates (dockets / weigh tags)
A weigh certificate PDF is generated automatically when you save a record as Complete.
Printed certificates show the weigh factor and BOL number, and are marked when they are a reprint.
The Weigh certificates report (Reporting console > Vintage/Harvest) lists every certificate for a chosen date range, for both fruit intakes and other weigh records.
Reprint a certificate from the Scalehouse list at any time.
-
Set-up and defaults
The Weighmaster settings are in Set up > General > Defaults under the Weighmaster Update button.
The docket number prefix is also set here rather than the Winery record. Local administrators can set the next docket number to carry on from a previous system if needed.
Winery building is now optional on a scale, so you can set up field scales that aren’t tied to a single winery.
Contract Management
2027 levies are loaded and ready for harvest (Australia)
We've loaded the 2027 levies for all Australian clients in both Contract Management and Grower Contracts. You can now add levies to your 2027 contracts and contracted fruit straight away, instead of waiting until February or March. If you think a rate is incorrect, please contact Support.

Payment details report: contract details on every row
On the Payment details tab, the Contract, Grower and Variety now repeat on every payment row, so it's easier to filter, sort and reconcile contract payments in Excel. This applies whether you generate the report on fruit received or on contracted fruit, and when previewing payment costs from Process next payment.
Improvements & Bug fixes
Improvements
-
Block Assessment report
This new report is available to users with the new Reports Hub. Within the Fruit sample category, select Block assessment report and click Configure.
You can run the report to show data as of any date and time, and there are a number of helpful filters including options for when the assessment occurred, and what program or intended use the fruit is assigned to.
This report is designed to work hand in hand with our block assessment importer to make comparison and updates quicker and easier.
-
Additions Threshold warning
You can now set a simple Rate of Addition threshold on an additive to prevent over-prescribing the add in a Work Order. Once the threshold is set, vintrace will show a visual warning if you exceed this limit. Note that this warning is per-operation, and does not tally cumulative additions.
To learn more, you can review our Support article here.
-
Cost Console
-
An ‘Alloc#’ column has been added to the Cost Console that shows the cost allocation number for entries. These numbers are automatically generated when entries are added through the Cost Allocation Console. You can filter the display using this number via the ‘Cost Allocation #’ filter field.
-
-
Winery Building filter added to the Lab Console
You can now filter your Lab Console results by the location of your Analysis Tasks. Simply choose the location from the Winery Building field and click Search.
-
Kilojoules and Kilocalories as Qualitative Units
You can now create Metrics with kJ and kJ/100mL, and kCal and kCal/100mL as Units of measure. Perfect for EU nutritional labelling requirements. Head to Set up > Lab > Metrics to create or modify a metric today.
-
Recent Notes filter now in hourly increments
Recent Notes on the Vessels page can now be filtered by Hours, allowing for better insight into recent activity. Particularly helpful to split out a.m. and p.m. ferment round details.
-
Fruit Maturity Sample Set duplicate check
The logic for checking for duplicates in Sample Sets now accounts for different ownership. If a Sample Set already exists for the vintage in question, you will be informed regardless of the ownership of the fruit.
-
Changing the Program for a batch
-
The message displayed when changing the Program for a batch has been improved to reflect the consequences of changing this value, i.e. that it will override all the wine and history on this batch with the new program, which will affect reporting.
If the Program was not previously populated (i.e. it was blank or null) then this message is not displayed.
-
-
Data importers
Data importers have been improved to accept date formats that do not include a leading “0”. E.g. you can enter ‘1/1/2026' rather than ‘01/01/2026’. This also includes where a time is included, e.g. '1/1/2026 12:00’

The importers updated are:

Distilled Spirits Producer (DSP) (US only)
Reports: The DSP reports section of the Reports page is now hidden unless you specifically use the this functionality.
Lab reversals/editing: There is now a clearer warning on reversal or edit attempts for lab data that those changes will NOT be reflected in your DSP reporting. We recommend a Rollback or Rollback & Replay to alter historical lab analyses.
-
Removed Reverse option from bulk wine dispatch
Removed the reverse option against a bulk wine dispatch to prevent reporting discrepancies. A Rollback or Rollback & Replay is now required to revise a bulk wine dispatch operation, in line with compliance reporting requirements. Reverse is still available for packaged product, and historically reversed bulk wine parcels can still be reviewed in the dispatch console.
Bug fixes
-
Inventory - On hand L on stock items
Fixed an issue where the On hand L value stayed at zero when creating or editing a stock item with a bulk wine in its bill of materials.
-
Sales Orders - Currency symbols on invoice PDFs
Fixed an issue where the Sales Order invoice PDF showed no currency symbol when the sales order used a price list in a currency other than dollars or euros (for example Indian rupee or Japanese yen). When you view or print the invoice PDF, amounts now show the price list's currency symbol. This change applies to the Sales Order invoice PDF only.
-
Stock Purchase Orders - Uploading documents to receivals
Fixed an issue where you couldn't upload files to a receival opened from the Stock receivals tab of a stock purchase order. You can now add documents from the receival's Documents tab, the same as when you open a completed receival from anywhere else in vintrace.
-
Barrel Movements
Fixed an issue with the v7 barrel movements API (
POST /api/v7/operation/barrels-movements) where the winery building was not set. Now when completing a barrel movement to a different winery building to to the old location using this API the winery building is correctly set based on the new storage area.(US only) Fixed an issue where a warning message was repeated when attempting to complete a Move Barrel operation that sets a target batch whose owner is an AP owner on a different bond. The message now only appears once.
-
Tirage
Tirage Admin Operation - quick fills: Fixed an issue with the Quick Fill option for bin groups so that selecting the ‘Bins’ option in the ‘Quick fill bins’ window now correctly populates the bins table in the Split / Transfer tab with the expected matching records.
Tirage Admin Operation - multiple losses: Fixed an issue where multiple losses were generated from a triage admin operation and these were showing up on the Wine Production Loss Report. Now only a single loss event is created. This fix includes correcting previous operations where losses had been duplicated.
Tirage rounding mismatches: Fixed an occasional issue for Tirage operations where the ‘Out’ volume did not match the ‘Volume packaged’ when measured in gallons due to small rounding differences. The calculation of the losses and the volume packaged have been more closely aligned, allowing the operation to be completed.
-
Allocations Matrix
The Allocations > Allocations table could sometimes include old archived products. These archived products have now been removed from this page, including when exported to a spreadsheet.
